What we collect
Online bookings
Bookings are taken through our in-house booking system. When you complete a booking we store:
- Lead booker details — name, phone number and email address.
- Booking details — date, venue, package and any extras selected. We do not store free-text booking notes.
- Fixed events (for example airsoft walk-ons) — the name of each attendee may be stored in addition to the lead booker’s contact details. For standard packages we do not store a full list of group members.
- Payment records we keep — payment status, the last four digits of the card, and transaction IDs so we can track payments and handle refunds. We do not see or store complete card numbers or other card data.
Card payments are processed by IPG, the online payments service used by our bank, NatWest. A billing address may be required for card authorisation; that address is not stored in our database. Temporary session data used while you book is cleared once the booking is complete. We do not store cancelled or abandoned carts. There are no customer login accounts.
Enquiries and websites
- Contact details you send us — for example by email or phone (name, email, phone number and the content of your message).
- Technical data — standard web server logs (such as IP address, browser type, pages requested and timestamps) used for security and reliability.
Waivers
Session waivers are paper only. They are handed to the member of staff supervising your group on the day. We do not store waivers digitally.
How we use information
- To take, confirm and run your booking and session
- To send one booking confirmation email, and to reply if you email us about that booking
- To contact you again about that specific booking only when we must (for example a road closure or operational change)
- To respond to general enquiries and provide customer service
- To keep websites and the booking system secure and reliable
- To meet legal and accounting obligations where required
We process booking data to perform our contract with you. We also rely on legitimate interests where appropriate (for example running a secure website). We do not send marketing or promotional emails. We do not track opens or clicks on our emails.
Cookies and similar technology
This corporate marketing site does not currently load third-party analytics or advertising
pixels. The booking system uses session cookies while you complete a
booking so the process works; related session data is cleared once the booking is
complete. Brand sites may store a preferred venue in your browser via
localStorage so booking links open the right place. If we add analytics
later, we will update this policy and obtain consent where required.
Payments (IPG / NatWest)
Card payments are handled by IPG (NatWest’s online payments service). We never receive or store your full card details. We only record payment status and transaction IDs against the booking.
Sharing your information
We do not sell your personal data and we do not share booking or enquiry data with third parties for their marketing or other commercial purposes. Card payments are processed by IPG (via NatWest) as described above. We may disclose information if required by law or to protect safety and legal rights.
How long we keep data
- Completed booking records — maximum of 5 years.
- Cancelled or abandoned bookings — not stored.
- Emails — kept with no fixed automatic deletion date (for customer service and records).
- Server logs — kept for a limited period for security and reliability.
Your rights
Under UK data protection law you may have the right to access, correct, erase or restrict certain processing of your personal data, and to object to some processing or request portability where applicable. Contact info@uczpaintball.com.
You can also complain to the Information Commissioner’s Office (ICO).
Children
Activities start from age 8 depending on the package. Online bookings are made by an adult lead booker. We store that lead booker’s details (plus booking and payment tracking data). Paper waivers for players are collected on the day and not stored digitally. We do not use children’s data for marketing.
Changes
We may update this policy from time to time. The “Last updated” date at the top will change when we do.
